CRM phone integration: what it does

Published September 1, 20263 min readby The PBXfactory team

CRM phone integration connects your phone system to your CRM: you click a number to call it, the caller's record pops up when the phone rings, and every call is logged on the contact automatically. Yeastar P-Series Cloud has ready-made integrations for Salesforce, HubSpot, Zoho, Dynamics 365, Bitrix24 and Odoo, plus a template for other CRMs.

Your CRM knows your customers. Your phone system knows who's calling. Without a connection between the two, your team copies numbers by hand, searches for the caller while saying "one moment please", and forgets to log half the calls. CRM phone integration fixes that by letting the two systems talk.

What CRM phone integration does

A good integration handles a handful of everyday jobs:

  • Click-to-call. Click a number in the CRM and your phone or softphone dials it.
  • Caller pop-up. When a call rings, the caller's contact record opens, so you know who it is before you say hello.
  • Automatic call logging. Each call is written to the contact's timeline with its time, duration and direction, often with a link to the recording.
  • Contact sync. CRM contacts show up in the PBX phonebook, so caller names appear on phones and in the Linkus apps.
  • New leads from unknown numbers. A call from a number the CRM doesn't know can create a new contact or lead.
  • Recording playback. Listen to a call from the CRM record, without opening the PBX.

For helpdesks, the same idea adds automatic ticket creation: a call from a customer opens or updates a ticket.

Which CRMs work with Yeastar P-Series Cloud?

Yeastar maintains ready-made integrations, each with its own setup guide:

Type Ready-made integrations
CRM Salesforce, HubSpot, Zoho CRM, Microsoft Dynamics 365, Bitrix24, Odoo
Helpdesk Zendesk, Zoho Desk
Other CRMs and helpdesks Custom template for any tool with a REST API
Contact lookups Microsoft SQL databases, LDAP servers
Collaboration Microsoft Teams, Microsoft Entra ID, Outlook, Google Workspace

Not every feature works in every CRM. What's available depends on the CRM's own capabilities, so read the guide for yours. For Dynamics 365, Yeastar offers a dedicated Linkus for Dynamics 365 plugin.

Check your CRM edition first

The PBX side is usually the easy part. Your CRM may set the limits:

  • Yeastar's Salesforce guide lists support for Salesforce's Enterprise, Unlimited, Developer and Performance editions.
  • The HubSpot guide lists HubSpot's free CRM and its Starter, Professional and Enterprise plans.
  • Many integrations need an admin account on the CRM side to authorise the connection, and some need a developer app.

Five minutes with the guide saves a surprise halfway through setup.

What it looks like day to day

Your team keeps working in the CRM tab they already have open. With the Linkus for Google Chrome extension and Linkus Web, numbers in the CRM become clickable, and calls pop up in the browser when they ring. You can choose whether the pop-up opens when a call rings, when it's answered or when it ends. Linkus Desktop, the mobile apps and desk phones keep working as usual.

Two smaller features help with reporting:

  • Call notes: agents tag calls with a disposition and a remark.
  • Data Connector: since mid-2026, Yeastar can export call records and call-report data to a PostgreSQL, MySQL or Microsoft SQL database, so your BI tool can put calls next to sales figures.

No ready-made connector? Use the template or the API

If your CRM isn't on the list, Yeastar's custom CRM template can connect any CRM or helpdesk with a REST API. You describe how to look up a contact, create one and log a call, and the PBX handles the rest: click-to-call, pop-ups, contact sync, call and chat journals, recording playback. For deeper projects, the PBX's own API lets your developers build exactly what you need.

Before you switch it on

  • Map users. Each CRM user is linked to their extension, so calls land on the right person's timeline.
  • Decide what to log. All calls, or only external ones? Missed calls too? Decide upfront, because cleaning a timeline later is no fun.
  • Mind privacy. Call logs and recordings in your CRM are personal data. Give access only to the people who need it, and check your retention settings. Our GDPR call recording guide covers the basics.
  • Test with one team for a few days, then roll out to everyone.

Questions and answers

Which CRMs does Yeastar P-Series Cloud integrate with?
Ready-made integrations exist for Salesforce, HubSpot, Zoho CRM, Microsoft Dynamics 365, Bitrix24 and Odoo, plus Zendesk and Zoho Desk for helpdesks. Other tools with a REST API can be connected with a custom template. See Yeastar's integration guides.
Do I need a particular CRM plan?
Sometimes. Yeastar's Salesforce guide lists the Enterprise, Unlimited, Developer and Performance editions. HubSpot works from the free CRM upwards. Check the guide for your CRM before you plan.
Does click-to-call need special software?
For CRMs in the browser, click-to-call and pop-ups use the Linkus for Google Chrome extension together with Linkus Web. The calls themselves run on your Yeastar PBX.
Is the CRM integration included on PBXfactory?
Yes. CRM integrations are part of Yeastar's Enterprise plan, which every PBXfactory PBX runs on. Setting them up is part of configuring your PBX, so it isn't in our included support, but our support packages can help.
